Mail List Processor

Job Summary
Perform mail list processing operations and comply with U.S. Postal regulations pertaining to mailing services to consistently meet customer expectations.

Job Duties / Responsibilities

  • Maintain a schedule, or a prioritized list, of all current projects and communicate with scheduling staff and/or Client Services Managers as needed.
  • Request PAF’s (Processing Acknowledgment Forms) as needed, prior to submitting files for NCOA processing.
  • Make every effort to complete processing lists within 24 hours of receipt of the list and complete directions.
  • Perform conversions of mailing lists from several possible client provided formats (such as Excel, CSV, DBF, etc.) into presort software.
  • Maintain detailed notes regarding the conversion process and any extra or outstanding steps needed in order to achieve the desired results.
  • Communicate problems with lists, or the list directions, with Client Services Managers.
  • Use presort software to prepare mailing presorts, calculate postage, and provide sample addresses for review by clients.
  • Output final files for use by production staff to produce.
  • Under general direction, perform list processing duties consistent with customer defined specifications.
  • As needed, collaborate with planning and pre-press staff to ensure the customer design meets all postage requirements and allows the lowest postage rates possible.
  • Understand and comply with all safety rules and procedures.


  • Minimum of 1 - 2 years related list processing experience; print production knowledge helpful but not required.
  • High school diploma/equivalency. Trade/vocational school preferred.
  • Experience in a Windows PC operating environment using advanced Excel skills.
  • AccuZip6 presort software experience preferred, but not required.

Physical / Mental / Technical Requirements

  • Advanced Microsoft Excel skills.
  • Ability to perform basic arithmetic skills.
  • Ability to read and communicate in English and understand job ticket specifications and instructions.
  • Ability to apply problem solving in a team atmosphere as well as individually.
  • Ability to work independently with little supervision as well as in a team setting.
  • Ability to work overtime as needed to meet customer demands.
  • Ability to learn new technology and equipment.
  • Ability to work under the pressure of deadlines and schedules.
  • Work environment is primarily office / desk work using a computer and other office related equipment.

Daily contact with Mailing Department Manager and personnel from all departments as needed to meet customer demands.
